TERMS AND CONDITIONS
The terms and conditions regulate the relationship between Polarstars Explorers AS and the customer.
By accessing, browsing, using and/or booking/ordering an event/service with us, you acknowledge to have read, understood and agreed to these terms and conditions.
Booking and ordering
Booking and ordering can be made through our website. The person who makes the booking accepts these conditions on behalf of all the people in the group and is responsible for all payments due. You need to be at least 18 years of age to be able to make a booking.
Refund
Date & booking time
You can change your booking date without any additional charges. If you want to book less than 6 hours from the departure of the trip, just give us a call +47 969 25 807.
Refund.
You get a full refund if you cancel your trip 2 weeks or more before the start of the activity.
You get a 50% refund if you cancel your trip from 7 to 13 days before the start of the activity.
You get a 25% refund if you cancel your trip from 3 to 6 days before the start of the activity.
You get a 0% refund if you cancel your trip from 1 to 2 days before the start of the activity.
Price policy.
If you book a trip solo and no other people have booked it, you will pay a higher price to get the trip going. However, if other people booked the same trip at the same date, you consequently end up in a group. We will refund you the difference. For example, you book the « Nordic summer skiing on Svartisen for 1 person the 1st of July. You pay NOK 4000. One or more people also book for the same date. You become then a group. So you will end up paying NOK 2500 / person for the trip and we will refund NOK 1500 on your account.
Acceptance of risk
By participating in our guided trips you acknowledge a degree of personal risk. By booking or ordering a trip with us you acknowledge that participation in our activities involve risks above and beyond those encountered on a more conventional holiday.
We do not assume any responsibility for accidents that are caused by customers or can be traced to their own actions or are caused by factors outside of human control (Force majeure) unless the accident is due to serious negligence by the guide.
The participant in the activity, course or service offered by Polarstar Explorers undertakes to:
Certifies that he has no medical restrictions that would prevent him from taking part in this activity;
hereby certify that he is insured against third-party liability and any bodily or intangible injury he may cause during the activity;
hereby release the Polarstars Explorers company and the guide from all liability for any injury, material damage and/or bodily harm caused or suffered, in the event of theft or loss of property and for any other damage incurred during the activity;
he undertake to respect the equipment and to return it to Polarstars Explorers in good working order and in the original state of cleanliness. Should he fails to do so, he agrees to pay compensation in proportion to the damage caused;
he hereby commits to playing an activity role in risks management by adopting a preventive attitude regarding humself and those around him. He will take all reasonable precautions to ensure the safety of himself and others;
He undertakes to comply with the safety rules set out with the guide, and to take the utmost care of the environment in which he is evolving ( Respect the flora and fauna, collecting his garbage, etc );
he hereby, understand that he may be unable to participate for one or several reasons. The guide can determine that he, or another person, cannot participate to the activity due to inappropriate behavior, insufficient training, or for any other reason that could expose the team or others to a safety risk or negatively affect team cohesion during the day.
Insurance
Personal travel insurance are not included in our guided trips, events and services prices.

Your name, nationality, telephone number, email address and details of the services you have purchased from us or which you have enquired about.
How do we collect personal data about you?
You may volunteer this information when you request information from us, contact us, make a booking, register interest for our services, connect with us via social media or by speaking to us.
Why do we collect and use personal data?
We collect personal information only to the extent necessary to deliver the services, products, or information you (or an agent or other passenger booking on your behalf) request.
We do not share, sell or rent information to any third parties for the purposes of direct marketing.
How long do we keep your personal data?
We will keep your data only for as long as it is necessary for the particular purpose or purposes for which we hold it unless there are any legal or operational reasons to hold it for a longer period. At the end of that period the data that we hold will be securely destroyed.
Do we share your data with anyone?
We will share your personal information with our own guides as they will need that in order to perform the services you have asked for.
Adverse weather and conditions
We reserve the right to cancel any activities with your safety in mind. The weather changes fast in Northern Norway. Rain, wind or storms can affect directly your experience. The guide will decide if the risks of practicing the activity are too high to manage the group safely. We will make every effort to provide similar alternative arrangements without additional costs. The changes shall be optimized in order to make the inconvenience as low as possible for you.
